Job Title: Event Co-ordinator
Salary: £24,000 per annum plus Bonus OTE of £3,000
Location: London, United Kingdom

What you will be doing:

You will work closely with the other event managers and coordinators to ensure the professional and efficient organisation of all event logistics. You will be required to support the event operations team in the delivery of high quality events on time and to budget.

  • Speaker administration:

Compiling and following-up speaker packs detailing administrative guidelines & deadlines. Liaising with speakers for the submission of their presentations, audio-visual & biographical details

  • Venue logistics:

Assist with the sourcing and booking venues and conduct venue site visits to check meeting space logistics

  • Event costs:

Managing event costs carefully, exploring opportunities for cost savings and maintaining event budgets through timely and accurate reconciliation and reforecasting of costs.

  • Online administration:

Ensuring the event website is up to date with venue, accommodation, visitor information and appropriate sponsor information

  • Sponsor/exhibitor administration:

Compilation and sending out of exhibitor & sponsor manuals. Liaising with sponsors & exhibitors for submission of their corporate logos, company profiles, technical requirements & guest passes

  • Awards:

Looking after and updating table plans for various size awards. Supporting the team/event manager onsite at the awards and throughout the planning process.

  • Post-event follow-up and admin:

Compiling detailed analysis of delegate evaluation forms post event for sponsors. Compiling venue feedback and attendee lists.

  • Identifying suitable venues to ensure the best possible space and rates can be negotiated
  • Strong customer focus through the development of excellent client relationships with speakers, sponsors, delegates and suppliers
  • Effective project team work to ensure close cooperation between the events marketing, production and sales teams
  • Support of the rest of the event operations team in delivery of events as required from time to time
  • Good knowledge of MS Excel, Word, PowerPoint, Outlook & Adobe
